Setting Up Alerts in Evisort
With Evisort, you can automate alerts to suit your needs and working style. Alerts make sure you never miss an important deadline and you always have the right details from your documents delivered straight to your inbox.
You can set up alerts to show which contracts have been assigned to you, which need review, which contracts are about to expire or renew, and more.
You can also adjust the frequency of these alerts to hourly, daily, or weekly. The alert(s) will show for all existing documents in the workspace. You can select which fields (expiration date, review status, contract type, etc.) to tie your alert to and specify which users or departments will receive each notification.
Your stakeholders will only receive alerts for documents that their profile has access to and that match the filter criteria. They won't see any documents or even the names of documents that they don't have access to.
Here’s how to get started setting up alerts for your organization.
First, find the Alerts module in the navigation bar and click the ‘Add Alert” button. Then, set up the basic details for the alert. This includes:
- Name - this will be the subject line of your email alert
- Message - this will be the body of your email alert
- Frequency - this will be the start date, end date, and cadence (hourly, daily or weekly) at which the alert is sent
- Folders - this will be the folders this alert applies to
Next, set up the filters, or in other words, specify what scenario should happen for the alert to send. For example, you can set an expiration date range with a renewal type of "Automatic" to be notified of contracts with upcoming expiration dates and automatic renewals.
Finally, add all recipients who should receive this alert. Recipients can be set at the individual, contract owner, and/or department level, and you can even exclude specific recipients if needed.
Keep in mind you can edit, duplicate, mute, or delete an alert at any time. You can also manually run an alert.
